Booking Policies
Confirmation & Payment
A booking is confirmed once FEAM's secretariat issues written confirmation. For standalone (non-case) bookings, an invoice is shared ahead of the hearing date.
Rescheduling & Cancellation
Requests to reschedule or cancel should reach the secretariat as early as possible. Cases already administered by FEAM follow the timeline set by the tribunal or mediator.
Confidentiality
Access to any hearing — in-person or virtual — is restricted to the parties, tribunal or mediator, and any attendees they authorise in advance.
Frequently Asked
Do I need an active FEAM case to book a facility?
No. FEAM's hearing rooms and virtual hearing support can be booked independently — for example, by parties using their own arbitrator or mediator, or for a case management conference under another institution's rules.
Can I switch from a virtual to a hybrid format after booking?
Yes, as long as there's enough lead time for the secretariat to reconfirm room availability and reissue access details. Let us know as early as possible.
What happens if I need the room for longer than planned?
Extensions are handled on a best-efforts basis depending on same-day availability. Where possible, build in buffer time when you submit your request.
Is interpretation support available?
Yes — flag your language requirements in the form above, and the secretariat will confirm availability and any lead time needed to arrange it.
